Online Check-In
Last updated:
In short
Online check-in is the process of completing the hotel registration form — guest details, ID, signature, address, GDPR consent — before the guest arrives at the property. The data is captured via a tokenised link, usually sent by email or SMS a few days before arrival.
Online Check-In
Online check-in is the bridge between booking and contactless check-in. Even hotels that don't go fully contactless benefit because the front desk shifts from data entry to greeting. The standard collection set: full name, document number and type, photo of the document, address, signature, GDPR consent, special requests, ETA. Hotels in regulated markets (Spain, Italy, much of CEE) often need to upload guest data to a police register; collecting it via online check-in lets that submission happen automatically. Guestivo sends the invitation link automatically based on a configurable trigger (e.g., 3 days before arrival), supports ID document OCR so guests don't type their data manually, and translates the form to the guest's language.
Why it matters
Hotels using online check-in report 60-90 second average reduction in check-in time per guest. Multiplied across a busy arrival day, this is staff time the front desk can spend on actual hospitality.
