A PMS (Property Management System) is the central software a hotel uses to manage reservations, guest profiles, check-in and check-out, room status, billing, and reporting. It is the operational backbone of the property.

Every hotel runs on a PMS, whether or not the staff call it that. A spreadsheet is a PMS — a bad one. Modern PMSes are cloud-native, integrate with channel managers, POS systems, payment processors, and guest experience tools, and expose APIs for everything. Buying decisions usually come down to: size (small properties don't need enterprise features), local tax compliance, integrations (does it talk to your channel manager and accounting?), and price model. The PMS market is fragmented — Mews, Cloudbeds, Apaleo, Little Hotelier, OPERA, KWHotel, Profitroom, NFHotel are all alive and well in 2026.
Why it matters
The PMS is the system every other hotel system needs to talk to. Choose poorly and every integration becomes painful. Choose well and the rest of your tech stack falls into place.
