Group Booking / Room Block (Hotel)

Last updated:

In short

A group booking (or room block) is a reservation that holds multiple rooms for a single client — a wedding, conference, sports team, corporate event. The hotel typically holds the block at a discounted rate until a release date, after which unbooked rooms return to general inventory.

Group Booking / Room Block (Hotel)

Group bookings are a different revenue category from transient bookings. They are larger, more predictable, often longer lead time, and they consume meaningful inventory at a fixed rate set months in advance. The risks: holding a block too long means missing higher-rate transient demand that could fill those rooms; releasing too early means scrambling for replacement bookings. The standard discipline is the release date — usually 30, 45, or 60 days before arrival depending on group type and seasonality — with a contracted minimum pickup commitment. Tools like Cvent and Knowland help large hotels manage group inventory; for independents, a disciplined spreadsheet or PMS-based group module is usually enough.

Why it matters

Group business at 15-30% of total can be a stabiliser against transient demand swings, but priced wrong it cannibalises higher-margin transient inventory. The release-date discipline is the single most important lever.

Frequently asked questions

Typically 10-20% off published BAR (best available rate) for the equivalent transient booking, with the discount widening for off-peak dates and larger blocks.

Standard release dates: 30 days before arrival for short-lead corporate, 45-60 days for weddings and conferences. Earlier release on high-demand dates; later on slow dates.

A contracted minimum number of rooms the group commits to book from the block. If they fall below pickup, attrition fees apply.
