A hotel folio is the running record of all charges (room, F&B, services, taxes) associated with a guest's stay. It is the document used at checkout to settle the bill. In a modern PMS, the folio is a database record exposed in the guest portal.

Traditional folios were paper printouts handed over at checkout. The 2026 standard is a live digital folio the guest can view at any point during the stay — open the guest portal, see today's charges, dispute anything that looks wrong before checkout. This dramatically reduces checkout disputes (the #1 source of front-desk friction) and shortens the checkout itself. Folios also matter for accounting: a master folio aggregates group bookings, individual sub-folios split charges by guest within a room, and audit trails on every charge support tax and dispute compliance.
